ONA is seeking to hire a Labour Relations Assistant to join our Legal Expense Assistance Plan (LEAP) Team. This position reports to the Manager, LEAP and works within the boundaries of ONA’s governing and administrative policies, vision and strategic outcomes, and team standards. As a member of the LEAP Team, the successful candidate will provide administrative support by handling general team tasks, document database management, and correspondence. You will also type, review, copy edit and carefully proofread a variety of documents as well as all other tasks associated with the position.

This is what else you can expect from this dynamic role:

  • Accountable for opening new files as required and closing same when no longer needed in consultation with Labour Relations Officers (LROs), in accordance with organizational procedure.
  • Timely distribution of incoming information (mail, faxes, voicemail and email).
  • Accountable for processing outgoing mail, ensuring the most efficient method is used for distribution.
  • Accountable for scanning and electronic filing of incoming and outgoing correspondence and documentation.
  • Records management both electronically and hard copy files.
  • Processing internal and external accounts.
  • Producing annual LEAP Membership Satisfaction Survey.
  • Organizing and providing support for LEAP Advisory Committee.
  • Actively participating as a team member to ensure that organizational accountabilities are met.
  • Arranging transportation, accommodation and meeting rooms, when required, as provided for under organizational guidelines.
  • Producing and proofreading the following materials/documents for the Labour Relations Officers as required:
  • Meeting Minutes.

What we are looking for:

The successful candidate will possess -

  • Post-secondary education in Business Administration, Administrative Services or a related field.
  • Three (3) to five (5) years of related experience is required (or equivalent combination of education and experience satisfactory to ONA).
  • Records management experience.
  • Proficiency in Microsoft applications and database managemen.t
  • Knowledge of the College of Nurses of Ontario and the Regulated Health Professions Act and/or medical/technical terminology a definite asset.
  • Be able to work well with others, particularly under pressure to meet deadlines.
  • Excellent time management skills.
  • Detail-oriented with excellent organizational skills.
  • Certificate, course and/or experience in Project Management an asset.
